Multiple WhatsApp numbers, one team and one AI, in one inbox

A shared WhatsApp inbox means more than one person can answer the same numbers without stepping on each other. Here are the three ways to do it, and what an AI agent on each number adds.

IN SHORTA multi-agent WhatsApp set-up lets several people answer one or more numbers from different computers. You can do it with the app's linked devices (up to four), with the official API through a platform, or by linking numbers via QR to a dashboard like MultiChats, which also puts an AI agent to work replying and sorting.

An example

Example conversation (fictitious data)
CUSTOMERHi, I spoke to someone from your team yesterday about the kitchen quote.
AI AGENTHi, yes, I have it here: a 3.5-metre kitchen, quote sent on Tuesday. Have you had a chance to look at it?
CUSTOMERYes, but I'd like to change the worktop.
AI AGENTOf course. I'll pass this to Sarah, who prepared it, and she'll message you today with the change. Does that work?

What "multi-agent" means

On WhatsApp, "agent" has two meanings. The traditional one is a team member who answers chats. The new one is an AI agent that replies on its own. A multi-agent WhatsApp, in short, is one number (or several) that several people work on at the same time, and increasingly an AI too.

The goal is always the same: no customer left unanswered because "John had the phone", and anyone on the team able to see what was said to that customer before.

Three ways to set it up

  • Linked devices in the app. WhatsApp and WhatsApp Business let you open the same account on up to four extra devices (computers or tablets). It's free, but there's no way to assign chats or see who replied to what.
  • The official API through a platform. Shared-inbox tools built on the WhatsApp Business API: they assign conversations, support many users and follow Meta's rules. In return, the number moves to the platform, starting a conversation requires approved templates and Meta charges per template message.
  • QR linking to a dashboard. This is what MultiChats does: each number is linked like WhatsApp Web, stays on its phone and appears in an inbox you can open on several computers and phones.

From two accounts on one phone to one inbox

Every WhatsApp account is tied to a number. WhatsApp and WhatsApp Business let you have two accounts in the same app and switch between them in settings; the second number has to be able to receive the code (a second SIM, an eSIM or a number that receives texts or calls). For a sole trader with a personal and a work number, that is usually enough.

Beyond two, each number needs its own home: another phone, or the account open on a computer as a linked device. And with three or four numbers the usual problems appear: WhatsApp Web tabs that get mixed up, chats nobody answers because they were on the other phone, forgotten follow-ups. MultiChats was born from four phones on one desk.

How to organise several numbers

  • One column per number. Each number is linked as a device and shows its chats, photos and voice notes. On a phone, each number is a screen and you swipe between them.
  • One shared queue. Follow-ups go out from a single queue, so two numbers never message the same person, and each number has its own daily cap and pause between messages.
  • Rules per number. A personal number can be visible without the AI touching it; another can run in draft mode and another on automatic. If one has undelivered messages, it brakes on its own and alerts you.
  • One status per contact. Whichever number they spoke to, "interested", "thinking it over", "not interested" or "customer" is a single status, and the follow-up goes out from the number that started the conversation.

What an AI agent adds on each number

When several people watch the same WhatsApp, the problem changes: it's no longer that nobody replies, it's that everyone thinks someone else has. In MultiChats the AI agent reads every new message, sorts it (interested, has a question, thinking it over, not interested) and leaves a drafted reply. The team works from a clear list: awaiting reply, interested, needs a human.

When a customer asks for a call, haggles, complains or wants to buy, the agent stops and flags it. Nobody on the team finds an AI that has promised something on its own.

Worth knowing before you choose

If you need to assign each chat to a specific person, shift rotas, per-employee metrics and dozens of users, a platform on the official API is built for that. MultiChats is built for small teams that sell on WhatsApp with the numbers they already have: everyone sees the same thing, the agent gets the work started and nobody has to change number.

QR linking is not the official API. Meta can restrict a number that sends in bulk. MultiChats works with daily caps, pauses between messages and an automatic brake if messages stop being delivered, but the risk isn't zero and we tell you so before you start.

How much it costs

Frequently asked questions

Is there a free multi-agent WhatsApp?

The closest free option is linked devices: the same account open on up to four computers or tablets. It works for a very small team, but it doesn't organise chats or reply for you.

Can two people reply at the same time in MultiChats?

Yes. The inbox opens on several computers and phones with the same account, and everyone sees the status of each conversation.

Do I need the WhatsApp Business API for a shared inbox?

No. The API is one option, with its own advantages and costs. MultiChats links your numbers by QR, like WhatsApp Web, and the number stays on your phone.

Can I have two WhatsApp Business accounts on one phone?

Yes: the app supports two accounts, each with its own number. You can also combine standard WhatsApp and WhatsApp Business.

Can I use the same number on two phones?

Not as two primary phones. You can open the account on up to four linked devices (computers, tablets and, with some limits, another phone).

How many numbers can I connect to MultiChats?

One on Starter, five on Team and ten on Business. More than ten, tailored to you. Your team keeps using their phones: the inbox is just one more linked device.
