Home › AI Receptionist for Small Businesses, on WhatsApp

An AI receptionist that answers your WhatsApp

Half of a front desk's work is answering the same questions in writing: opening hours, prices, whether there's a slot. An AI receptionist does it on WhatsApp, at any hour, and leaves the rest to you.

IN SHORTAn AI receptionist on WhatsApp is an AI agent that handles your customers' messages: it answers opening hours, prices and common questions, takes the details you need, offers an appointment from the slots you give it and hands over when a person is needed. MultiChats does this on your existing number, from €150 a month excl. VAT. It works by text and voice notes; it doesn't answer phone calls.

An example

Example conversation (fictitious data)
CUSTOMERHi, do you do hygienist appointments? How much?
AI AGENTHi, yes we do. A hygienist visit is £65 and includes a check. Is it for you? Do mornings or afternoons suit you better?
CUSTOMERFor me, afternoons please.
AI AGENTThis week we have Wednesday at 5:30pm or Thursday at 6pm. Let me know which and your full name, and I'll pass it to reception to confirm.

What it does

  • Answers the usual questions: opening hours, address and parking, prices, whether you handle a particular case, what to bring.
  • Takes the details: name, reason for the visit, preferred day, whatever you need to prepare.
  • Offers an appointment from the slots you've given it and flags it for you to confirm.
  • Covers out of hours: evenings and weekends, when the desk is closed. More in after-hours replies.
  • Follows up with people who asked and didn't book.

WhatsApp, not the phone

Most "AI receptionist" products answer phone calls with a synthetic voice. MultiChats doesn't take calls: it works on WhatsApp messages and voice notes. That's a deliberate choice. Many customers would rather type than ring, everything is written down, the customer replies when it suits them and you can review a conversation in two minutes. And it's the number your customers already have.

If most of your enquiries arrive by phone, a voice receptionist may suit you better, and we'd rather tell you that now.

What it doesn't do

It doesn't diagnose, doesn't give opinions on treatment beyond what you've written down, doesn't negotiate prices and doesn't promise results. With an emergency, a complaint or a sensitive case, it stops and flags it for a person. In sensitive sectors (clinics, dental practices, therapists, law firms) those rules are set even more carefully.

How it's set up

You link the front-desk WhatsApp with a QR code, like WhatsApp Web; the number stays on its phone. You tell us your services, prices, hours and how your team replies. It starts in draft mode: it writes and reception presses send. Once it sounds like you, switch it to automatic, first in the evenings and at weekends, then whenever you like.

The connection is by QR, not the official WhatsApp API. For answering people who message you the risk is low, but Meta can restrict a number used to send in bulk. We explain it before you start.

Cost compared with a person

From €150 a month excl. VAT, no contract. It doesn't replace your receptionist: it takes the repetitive part off them and covers the hours they're not there. See pricing.
